Position Overview

NewSchools is an organization of approximately 30 people.  25 are located at our headquarters in Oakland, plus a handful of people who work remotely. We are seeking to hire a full time Office Coordinator in our Oakland office.  This position will be responsible for partnering with our Shared Services team to managing the administrative needs of the office, including office services, internal & external events, and audio/visual support.


Key responsibilities will include, but are not limited to, the following:

1. Office management - 50%

Manage the reception desk, greeting visitors, answering phone calls and sorting incoming mail
Perform general office management duties (order supplies, keep the office organized, support use of shared conference room spaces, keep work room and kitchen organized)
Train internal staff on office processes, ensuring they are documented clearly on SharePoint and communicated effectively to all 
Manage ongoing office improvements
Serve as the in-office expert for our A/V systems and point person for A/V vendor

2. Administrative support for Innovative Schools team – 30%

Manage and respond to incoming inquiries, including sorting through new applications and assigning them to team members for review
Managing team scheduling for diligence calls, venture interviews, team meetings
Maintain Salesforce contact management platform

3. Event support - 20%, travel 2-3 times per year

Coordinate logistics and provide support for events held in the office, including catering and room setup
Assist with planning and facilitating large team events, including all team meetings, fun outings, and retreats
Provide support for certain events outside the office in support of our investing work, such as coordinating speakers, gathering information needed from attendees, etc.

Skills, Qualifications and Work Style

Success in the position will require, but not be limited to, the following proven competencies:

Extremely detail-oriented and organized
Helpful and professional demeanor, with a knack for customer service
Proficient in using Outlook, Word, Excel, PowerPoint; ability to perform Internet research
Confident in learning new technology systems, such as our audio/visual platforms, and being able to be the in-office expert by training other team members appropriately
Excellent written and oral communication skills; able to communicate effectively with a wide variety of people at all levels, internally and externally
Ability to appropriately prioritize work, handle multiple tasks simultaneously, manage time effectively, and deliver high-quality work on time
Work style suited to working in a small-team setting, where teamwork and resourcefulness are highly valued
Ability to proactively initiate, develop, and maintain effective working relationships with team members
Proven ability to learn quickly and continuously
Interest in the improvement of public education and working with diverse communities

Education and Experience     

Minimum 5 years’ experience, including at least 3 in an office support or administrative capacity
